2. Guide on how to use PAIA
The Information Regulator publishes a guide in terms of section 10 of PAIA explaining how to exercise your access-to-information rights. It is available at inforegulator.org.za in all official languages.
3. Records held by Receva
The following categories of records are held in the ordinary course of our business. Some may be subject to grounds for refusal under PAIA.
Operational records
- Client agreements and order forms
- Invoices and accounting records
- Internal company policies and procedures
- Tax records (income tax, VAT. if registered)
Service-delivery records
- Voice agent configurations per client
- Call recordings (90 days default retention)
- Call transcripts and metadata (12 months retention)
- Booking and order data submitted via the voice agent
- Integration credentials (encrypted). never shared except to the client they belong to
Personnel records
- Founder/owner records (Ruan Grobler)
- Contractor agreements (where applicable)

5. Requesting access
Requests must be made in the prescribed Form 2 (private body), available from the Information Regulator. Submit by email to hello@receva.co.za or by post to our registered address.
The fees prescribed by the Regulations apply (request fee + reproduction fee where applicable). We will respond within 30 days as required by PAIA.
6. Grounds for refusal
Access may be refused on any of the grounds in Chapter 4, Part 3 of PAIA. including protection of personal information of third parties, commercial confidentiality, legal privilege, and protection of confidential records.
7. Remedies
If a request is refused, the requester may lodge a complaint with the Information Regulator or apply to a competent court.
8. Updates
This manual is reviewed at least annually and updated as the business changes. Material updates are dated at the top of this page.
