A Group Automation Partner is a named developer on a fixed monthly agreement who automates the repeating admin inside a multi-company group. The partner audits the group's processes, builds automations on the group's own accounts so the group owns everything from day one, monitors every workflow for failures, and reports the measured impact in hours and rand each month. One accountable builder, client-owned systems, and a hard cap on the number of clients served so agreed response times hold. Receva offers this in South Africa from R9,500 to R22,500 per month.

What response means

Response is a human acknowledgment with a diagnosis plan and an ETA, and it starts the diagnosis. Alerts land in Receva's inbox and yours the moment a workflow fails, so triage is continuous. Hands-on work happens in the evening and weekend windows written into the agreement, set deliberately around the founder's disclosed day job. What is promised is what is delivered.

Severity levels

P1 is a live workflow down or filing wrong data: hands-on work starts the same evening. P2 is degraded but running: scheduled within 3 business days. P3 is cosmetic: handled inside the monthly build hours. New builds go into build capacity, not the incident queue, and are scoped and capped in writing first.

If Ruan is unavailable

Receva is one builder, and the agreement is honest about it. Everything runs on your accounts, documentation and walkthrough recordings live in your own SharePoint from day one, so continuity is structural, not promised. Planned leave comes with two weeks notice, and monitoring plus alerts stay live throughout.

VAT and exit

No VAT is charged. Receva is not currently VAT registered, so the price you see is the price you pay, with 30 days written notice if that changes. Exit comes with a full handover: your accounts, your documentation, your systems keep running. Either party can terminate immediately on material breach uncured within 14 days.

We map 3 to 5 processes across your companies and rank them by rand leaked per year. The audit report includes a fixed quote for your first build, and the R8,500 comes off that quote in full.

The first build, fixed price

First builds run R15,000 to R45,000, quoted in the audit report before you commit to anything monthly. Built on your own Microsoft tenant and accounts. You own it from day one.

Broken by us before you see it

Every build is tested with 20 to 30 failure runs, delivered with a recorded walkthrough and a live handover call where your team drives. Documentation lives in your own SharePoint.

The monthly agreement

Once the first build is live, the partner agreement starts. Failure alerts on everything, build hours every month, and an impact report in hours and rand. 30-day fix window, 60 for founding clients.

Keep Copilot. It handles your staff inside Word, Outlook and Teams. We build the part it does not cover: agents wired across your different systems, tuned every week, with one person accountable when something misbehaves.

Who owns what you build?

Your data, your documents and your accounts are always yours, and exportable at any time. Everything built inside your own tenant and accounts is your property outright once paid for. Only Receva-hosted receptionist products are licensed for the duration of that subscription. All in plain language, in writing.

Could our own team run this instead?

If you have the capacity, yes, and the audit tells you honestly where that makes sense. Most teams would rather not take on maintaining AI infrastructure as a second job. That maintenance is the part we own so it does not become anyone else's.

Is our data safe?

POPIA-aware by design, with an operator agreement, a retention schedule you set, and no using your data to train models. Some vetted sub-processors run outside South Africa under POPIA cross-border safeguards, and every one is disclosed in writing.

Are you a big company?

No, and that is the point. Receva is founder-led and hands-on. You work directly with the person building your agents, not a support queue and not an offshore team.

What does it cost?

Every engagement starts with the fixed-fee audit. Anything we build after is quoted against the value the audit finds, so the cost always sits next to what it saves.
